Project Overview
Blumac Digital developed a bespoke Office 365 email integration that connects monitored inboxes to a client’s business management system in real time. Using Microsoft Graph API webhooks and AI-powered email classification, the system automatically reads incoming emails, analyses their content, and allocates each one to the correct quote or order record - eliminating hours of manual sorting every week.
The Challenge
Our client managed hundreds of incoming emails each week across multiple shared Office 365 inboxes. Staff were manually reading each email, identifying which quote or production order it related to, and filing it in the correct place within their order management system. This manual email processing was time-consuming, error-prone, and meant urgent communications were sometimes missed or misallocated. They needed an intelligent email routing solution that could think for itself.
Real-Time Email Webhooks via Microsoft Graph API
- The system registers Microsoft Graph API webhook subscriptions on monitored Office 365 mailboxes. When a new email arrives, Microsoft sends an instant change notification to our application - no polling, no delays. Subscriptions are automatically renewed before expiry, ensuring uninterrupted email monitoring around the clock.
Configurable Rule Engine
- A flexible rules engine routes emails based on sender patterns, subject line matching and folder type. Rules are configured by the business team without any code changes, and each rule can trigger a different processing action - from quote allocation to production order assignment.
AI-Powered Email Classification and Record Matching
- This is where the integration truly shines. AI agents analyse the sender, subject line and full email body, then compare them against existing quotes and orders for that customer. The AI email classification engine looks for reference numbers, project identifiers and contextual name matching - even handling typos and abbreviations. Only high-confidence matches are automatically allocated; anything uncertain is flagged for human review, ensuring accuracy without losing speed.
Attachment & Inline Image Processing
- The system downloads and catalogues every attachment - PDFs, images, spreadsheets and even embedded .eml files with their own nested attachments. Inline images referenced via CID are resolved and replaced with permanent URLs, so the email renders perfectly when viewed later within the management system.
